Eyelevel is seeking a Board Secretary

Eyelevel is seeking a volunteer Secretary for our Board of Directors 

The Secretary is an executive position on our Board of Directors that is responsible for maintaining the records of the Board. The Secretary sends out reminders for upcoming board meetings and calls for agenda items, circulates the agenda in advance of meetings, keeps our shared Google Drive organized, and takes minutes during meetings. In addition to these tasks, the Secretary can opt to join one of our standing committees (Programming, Engagement, Finance and Human Resources), and participate in other board-wide tasks as outlined below. 

This is a great volunteer position for those who are organized and good at taking notes. Templates for meeting minutes and agendas are provided, and Eyelevel's staff and Board is there to support and offer guidance. Prior experience on a Board of Directors is not required.

about our board

Joining Eyelevel's Board of Directors is a great way to connect with the local arts community of Kjipuktuk and have a leadership stake in our organization. Our board creates the strategic goals and plans for our organization, makes critical hiring decisions and determines Eyelevel's annual budget and financial management. Our board is made up of artists, arts professionals, students and art appreciators from all walks of life and levels of experience with nonprofits. No prior experience is required to join our board, and we organize training opportunities and workshops for board members on things like governance, equitable leadership, trauma first-response, anti-oppression, financial literacy, treaty relations and more. 

Board members are expected to contribute roughly 10 hours per month of volunteer labour which can be in the form of:

  • attending monthly board meetings (usually over zoom 1.5-2 hours)
  • participating in a committee
  • responding to emails and requests for feedback
  • attending events 
  • researching and connecting with other organizations
  • supporting fundraising initiatives
  • reviewing documents and offering feedback
  • supporting staff in drafting policies and protocols
  • participating in board-only workshops and strategic planning retreats
  • attending national and regional conferences to represent Eyelevel (paid travel)

Board members serve a term of three years (consecutive terms are fine!) and are elected each year at our AGM. Between AGMs, new board members are appointed by the board of directors after submitting a letter of intent and sitting in on a board meeting.
